JOB SUMMARY:
This position works in concert with the CEO AND DOCTOR OWNERS in overseeing administrative, financial, and developmental activities of the practice.
Also oversees the entire operations of the practice and manages all staff, providers, patient flow, practice growth, PR, Marketing & promotions, networking, inventory and tasks delegated by CEO and dermatologist owners.
RESPONSIBILITIES:
- Supervision of Clinical & All Staff:
Supervises entire staff including all nurses, aestheticians, medical assistants, scribes, and patient counselors. Coordinates scheduling of clinical staff based on physician and practice needs. Conducts ongoing employee evaluation of clinical staff on a regular basis. - Quality Assurance:
Ensures the practice work environment is clean, efficient, and consistent with usual standards for the rendering of medical services. Working in concert with the physician director, assists in ongoing internal chart review as needed to ensure appropriate medical recordkeeping and regulatory compliance. - Medical Records:
Safeguards all patient information in accordance with practice policies and HIPAA standards. Ensures appropriate organization of patient files and accountability for file location at all times. Monitors file information to ensure accuracy and completeness, and advises the administrator of any deficiencies found. Ensures scribes are properly trained regarding medical records standards. - Staff Training:
Provides timely and consistent ongoing staff training regarding specific individual and clinical functions and the interrelationships of such functions. Ensures new employees are appropriately trained and oriented. - Staff Meetings:
Develop and run staff meetings and motivate all staff to “grow” and be the best that they can be. Teach staff to optimize their skills, learn new ones and maintain hihest standards and office protocols to optimize all office functions, protocols, profitability and standards of care and 5 star service consistency. - Administrative Support:
Provides assistance and support to the CEO-Owner administrator as needed. - Safekeeping of Practice Assets:
Ensures all equipment and facilities are clean and useable, regularly and economically maintained, and constantly secured. Also provides staff training for new equipment prior to use. - Policies and Procedures:
Ensures all clinical policies and procedures are maintained in written form within accessible manuals, available for reference by staff members. - Other Duties:
Performs other duties and assumes various responsibilities as determined by the CEO-Owner, administrator.
EDUCATION AND EXPERIENCE:
- MBA in Business Administration.
- Three plus years of experience in medical office management (Not assistant Manager) or five years’ relevant experience.
- Extensive experience in cosmetic plastic surgery.
- Must have High End Aesthetic Practice, Dermatology or Cosmetic Surgery experience and be able to demonstrate top management and entrepreneurial skills to maximize practice growth and optimize 5 star service and office functions.
- Knowledge of all cosmetic procedures, lasers, cosmetic injectables and running of a high end cosmetic practice is mandatory.
- Knowledge of medical records and coding standards.

RESPONSIBILITIES:
Primary Duties
- Provides direct patient care as a representative of the physician, treating the patient in a style and manner developed and directed by the supervising physician and consistent with authorized practice as defined by state law
- Delivers care in accordance with mutually agreed upon guidelines that are developed by the physician and R.N. and based on the physician’s delegatory style.
- Insures that you or MA’s are obtaining clear excellent photos are taken of all cosmetic patients at every appointment and gets all “Photo Consents” and other forms signed
- Limits their involvement in the assessment and implementation of treatment to agreed upon procedures including but not limited to injection therapy, taking into consideration their training, experience, and preparation of the R.N.
- Tracks referral sources, sends thank you letters to the source, and dictates consultation letters to the patient.
- Responsible for the coordination of retention correspondence to patients regarding their follow-up treatment plan. (As well as insure all patients get their Pre-Op and Post Op Forms)
- Maintains the patient’s medical records detailing all treatment procedures, medication history, and educational materials distributed
- Insures that on facial procedures that Advanced Visia Digital Photo-Analysis is taken to digitally track progress to maximize patient results .
Secondary Duties
- Confirms with patients their clear understanding that a registered nurse practitioner/ or PA is treating them.
- Review with the supervising physician all delegated patient services on a regular basis, as well as mutually agreed guidelines for the practice.
- Clarifies and familiarizes all issues related to supervision methods and style of delegating patient care with the supervising physician
- Tracks referral sources, sends thank you letters to the source, and dictates consultation letters to the patient.

Must be able to keep schedule “tight” and organized and understand differences between Cosmetic and dermatology medical patients. Do excellent patient check-in/check out, treating all patients in a professional and courteous “5 Star Concierge” manner. Review patient schedules and all office forms to verify necessary information and signatures and photographs have been obtained. Promoting and selling our skin care lines as well . Full Time pay plus commission position, Insurance plan & future bonus plans.
Overall responsibility to perfect the appointment schedules while completing all paperwork daily and keeping the back office (AKA "Provider Support Team") on time and proficiently flowing. Insuring patients brought back into rooms on quickly and efficiently with a smile. - Obtains patient signatures on appropriate forms.
- Collects payments, completes encounter forms when necessary, and prints receipts.
- Files electronic charts and paper work as needed.
- Answers telephone, screens calls, and takes accurate messages and delivers promptly.
- Acts as liaison between waiting patients and back office staff and providers.
- Prepares and maintains current patient information.
- Orders departmental office supplies as needed if instructed, approved by Office Manager.
- Assists with the development and implementation of the Office Managers procedures and organization including the running of reports.
- Conducts daily checks on skin care and cosmetic inventory prior to ordering.
- Places telephone calls to new patients to confirm upcoming appointments and verifies information required of the patient at the time of appointment.
- Marks arrival time of patients in office and makes sure that patients are seen on time.
- Places telephone calls to no-show appointments; reschedules as needed.
- Provides excellent support on telephones.
- Inspects reception room and front bathroom for neatness.
- Performs other duties as required.
- Assists other front office administrative personnel as needed.
